OpenKey collects only what we need to market your property and run your sale — and we never collect, process or hold money. This policy explains what we hold, why, and your rights under the New Zealand Privacy Act 2020.

Who we are

OpenKey is an owner-assisted home-selling platform operating in New Zealand. For privacy questions, contact us using the details at the foot of this page. This policy is governed by the Privacy Act 2020.

What we collect

• From sellers: your name and contact details, your property details, photos and marketing content, and the operational status of your sale (listing, viewings, enquiries, milestones).
• From landlords (assisted self-management): your name and contact details, your property details, and the operational status of your tenancy (listing, viewings, tenant approval, tenancy agreement, bond, rent status, Healthy Homes compliance dates and maintenance) — so we can run your dashboard.
• From buyers, enquirers and prospective tenants: your name and contact details, the messages you send through the platform, and — where you apply for a rental — the reference-check information needed to assess your application, which the landlord uses to decide.
• Automatically: basic website and device information (such as pages visited) to keep the site working and improve it.

What we never hold

Money. OpenKey does not process, collect or hold any payment for a property — no deposits, no sale proceeds, no rent or bond. When you sell, funds pass through your solicitor's trust account. When you rent out, rent is paid straight to your bank and the bond is lodged with Tenancy Services. We only display status.

Renting out your property (assisted self-management)

If you use OpenKey to rent out your property, we handle the friction of advertising the rental, arranging viewings, running tenant reference checks, preparing the tenancy agreement and lodging the bond with Tenancy Services, then tracking rent, Healthy Homes compliance and maintenance in your dashboard. You remain the landlord and legal principal and approve every tenant — we do not decide who rents your property. We use prospective tenants' information only to carry out the reference checks and present applications to you, and we hold tenant and tenancy information only for as long as needed to run the tenancy or as the law requires.

How we use it

• To create and syndicate your listing and marketing materials;
• To capture enquiries and connect buyers and sellers directly;
• To run your dashboard and keep you updated on your sale;
• To provide support and to improve and secure our service.

We use this information for the purposes above and do not sell your personal information.

Who we share it with

We share information only as needed to deliver the service: with third-party listing portals where your property is advertised; with contractors we arrange on your behalf (such as photographers); with the buyer or seller you are dealing with through the platform; and with the technology providers that host and run our systems. We may also disclose information where required by law.

Storage & security

Your information is held on secure, access-controlled systems. Some of our service providers may store data outside New Zealand; where they do, we take reasonable steps to ensure it is protected to a standard comparable to the Privacy Act 2020. We keep information only for as long as needed for the purposes above or as the law requires.

Access & login

You sign in with a one-time email code and see only your own properties and enquiries.

Your rights

Under the Privacy Act 2020 you can ask to access or correct the personal information we hold about you, and ask us to delete it where we are not required to keep it. Email us using the details below and we will respond as soon as we reasonably can.

Cookies

We use a small number of cookies and similar technologies to keep you signed in and to understand how the site is used. You can control cookies through your browser settings; some features may not work without them.
